Here's how to set up professional email in Kenya, including which of three setup paths to pick.
Why use a domain email at all?
- Credibility. A custom domain instantly suggests "real business" — even if you're a one-person operation working from a kitchen table.
- Deliverability. Gmail-from-Gmail can land in junk; properly-configured custom-domain email lands in the primary inbox more reliably.
- Brand consistency. Your domain matches your website, your invoice header, your business card. Cohesion sells.
- Ownership. Your @gmail goes wherever Google decides; @yourbusiness.co.ke is yours forever as long as you own the domain.
- Team accounts. Easy to add accounts as you hire — sales@, support@, accounts@ — instead of personal Gmail accounts mixed with company business.
The three ways to set up business email in Kenya
Option 1: Email included with your web hosting
Cost: free (included on every Hostiko hosting plan)
Best for: Solos, small businesses up to 5–10 staff, anyone with a basic email need.

Pros: Free with hosting. Truly unlimited (no per-user cost). Full control. IMAP/SMTP/POP supported.
Cons: No spam filter as good as Gmail's. No built-in office suite (Docs, Sheets). Disk space shared with your website storage.

Option 2: Google Workspace (business Gmail at your domain)

Best for: Teams of 3+ who already live in Gmail / Google Calendar / Google Drive, anyone wanting Drive storage and Meet bundled, businesses doing serious calendar invites and shared docs.
Google Workspace gives every staff member a full Gmail-quality inbox at your domain, plus Drive, Meet, Docs, Sheets, Calendar — the works. Same Google interface they're already used to, but @yourbusiness.co.ke. The spam filter alone is worth the price for many businesses.
Pros: Best-in-class spam filtering, integrated Drive/Calendar/Meet, mobile apps just work, 99.9% uptime.
Cons: Per-user cost adds up. Migration from existing email takes a day or so. Not the cheapest option.
Option 3: Microsoft 365 (Outlook + Office at your domain)
Cost: ~USD 6/user/month (similar to Google Workspace)
Best for: Teams already living in Outlook and Microsoft Office, businesses requiring Word/Excel desktop apps, organisations with formal compliance/security needs.

Pros: Real desktop Office apps included. Excellent for Word/Excel-heavy workflows. Microsoft Teams included.
Cons: Less intuitive than Google Workspace for some, slightly heavier setup.
Step-by-step: setting up Option 1 (free hosted email)
Assuming you've already got Hostiko hosting:
- Log into your client dashboard → "Open DirectAdmin."
- Click Email Accounts.
- Click Create Account.
- Pick a username — info, sales, your-first-name, etc.
- Set a strong password (the panel can generate one).
- Allocate a mailbox size — typically 500 MB to 5 GB is plenty.
- Click Create. Your info@yourbusiness.co.ke is now live.
- Test by going to https://yourbusiness.co.ke/webmail and logging in with the email + password.
Connect your phone or Outlook to it
Add a new email account using these settings:
- Username: full email (e.g. info@yourbusiness.co.ke)
- Password: as set above
- IMAP server: mail.yourbusiness.co.ke (port 993, SSL)
- SMTP server: mail.yourbusiness.co.ke (port 465, SSL)
If you'd rather just use Gmail's interface, add it as an external account inside Gmail (Settings → Accounts → "Check mail from other accounts"). Gmail then fetches your hosted mail every few minutes and you reply as @yourbusiness.co.ke.
Common mistakes to avoid
Forgetting to set up SPF, DKIM and DMARC
These DNS records prove that mail from @yourbusiness.co.ke is genuinely from you, not a spammer. Without them, your mail lands in junk on most Gmail/Outlook inboxes. Hostiko sets up SPF and DKIM automatically; DMARC is a one-click toggle in DirectAdmin.
Reusing personal passwords
Use a unique strong password for every mailbox. Email is the master key to every other account you own (since password resets flow through it). A breached mailbox is a breached business.
Not setting up 2FA
Roundcube webmail doesn't natively support 2FA, but Google Workspace and Microsoft 365 do. If you're handling any sensitive info, this matters.

Don't make john@yourbusiness.co.ke the company contact. Six months later when john leaves, you have to forward forever. Use role-based: info@, sales@, support@, accounts@. Then each person also gets a personal one — john@ — for when needed.

Can I have unlimited email accounts?
On Hostiko shared plans you can create as many as your mailbox quota allows. Practically: hundreds of small mailboxes, or fewer large ones. Reseller plans inherit the same limits.
Can I migrate my old email to a new domain?
Yes — IMAP-to-IMAP migration tools transfer old mail to your new mailbox. We do this as part of free migration on paid plans.
What about aliases?
Aliases (e.g. sales@ → forwards to john@) cost nothing and use no mailbox quota. Set them up in DirectAdmin.
Can my @yourdomain.co.ke also send mail through Gmail?
