Your website is part of your due diligence

When a funder is considering you, someone will open your website before they open your proposal. For a small or medium organisation that page is often the first independent check anybody makes, and it is read more sceptically than you might expect.

What they are looking for is specific and easy to provide:

  • Your registered name and registration number, matching the documents in the proposal exactly.
  • Who runs the organisation. Board or trustees, with real names.
  • What you have actually done, with dates and places rather than adjectives.
  • Annual reports and audited accounts, downloadable without asking anyone.
  • A physical address, a phone number that is answered, and an email address on your own domain rather than a free one.
  • Evidence the organisation is active now. A page whose last update was three years ago reads as dormant, whatever it says.

None of that is a hosting feature. It is what the hosting is for, and it is the difference between a site that supports an application and one that quietly undermines it.

Publishing reports so they stay reachable

Reports get linked in proposals, cited by partners and bookmarked by funders, sometimes years before anyone follows the link. Two habits keep those links working.

Give each report a stable address that describes it, such as /reports/annual-report-2026, and do not change it afterwards. If you reorganise the site later, keep the old address redirecting to the new one rather than letting it break. A funder who clicks a dead link in your own proposal notices.

Keep the files a reasonable size. An annual report full of photographs can easily come to 40MB, which many people will simply give up on. The same document exported properly is usually under 5MB and looks no different on screen.

Yes — multiple ways. M-Pesa Paybill is the simplest for Kenyan donors. For international donors we set up Visa/Mastercard/Amex payments via PesaPal (Hostiko's standard card gateway — settles to your account in KES or USD). If your organisation has a verified PayPal Business account in its own name, you can also add a PayPal donate button — that's separate from Hostiko, you manage it directly with PayPal.

Yes. Upload annual reports, audited accounts, and impact stories as PDFs straight to your hosting. We recommend a separate /reports section so donors can audit you publicly.

WordPress sites can switch English/Swahili with one plugin (Polylang or WPML). It works fine on our shared hosting — no special server config needed.

Every plan includes mail at your domain. For NGOs with 15+ staff, Google Workspace via our service usually makes more sense — staff use Gmail/Drive/Meet on your domain.

A free SSL certificate gives you the HTTPS padlock day one. Beyond that, donors look for: clear About + Board page, audited reports, real photos, contact details, and project gallery. Our Website Design service can build this if you don't have a designer.

Most Kenyan NGOs and community organisations use .or.ke, which is the extension associated with non profit organisations and reads correctly to funders. As a guide, .or.ke is KSh 1,300 to register and KSh 1,500 a year to renew. A .co.ke works too if you prefer it: .co.ke is KSh 1,200 to register and KSh 1,700 a year to renew.

Yes, and we would encourage it. They are ordinary files on your site and every plan has room for them. Give each one a permanent web address so links in old proposals keep working, and keep the file size sensible so people on a phone can actually open it.

In our experience yes, usually before they read the proposal properly. What they check is whether the registered name and number match your documents, whether the board is named, whether there is recent activity, and whether reports are downloadable without having to ask. An out of date site is worse than a small one.

You can publish your paybill or bank details and explain clearly how to give, which is what most organisations here do. We host that page. We do not process donations ourselves and no funds pass through us, which also means there is nothing extra for your auditor to reconcile.

Yes, and for an NGO it matters more than for most. An address at your own domain is one of the things a funder checks without thinking about it. You create the mailboxes yourself in the control panel; the number depends on the plan.

That is a website build decision rather than a hosting one, and it works on any plan. The usual approach is a second set of pages under a language prefix. Tell us what you need when you get in touch and we will explain the options honestly, including when it is not worth the effort.
