Patient data and Kenyan law

Health status is classed as sensitive personal data under Kenya's Data Protection Act 2019. The part that catches facilities out is registration: organisations processing sensitive personal data, health care among them, are expected to register with the Office of the Data Protection Commissioner even when they fall under the turnover and headcount thresholds that would otherwise exempt a small business.

We want to be straight about the split. Registration, consent, retention and what your staff do with records are yours, and the ODPC is who you deal with. Hosting is the technical layer underneath: encryption in transit, mailbox security, access control and backups. Buying hosting does not make a facility compliant and we will not tell you otherwise.

One more thing worth saying plainly: HIPAA is United States law and does not apply in Kenya. If a vendor sells you "HIPAA compliant" hosting for a Kenyan clinic, they are either copying American marketing or hoping you will not check.

The pages patients look for first are: the services or specialities you offer, your consultant and practitioner list, opening hours, how to reach you, and how to book. After that come the things that stop phone calls: which insurers and schemes you accept, whether you are an SHA contracted facility, your visiting hours, and directions with a map. Everything on that list is ordinary web content and runs comfortably on a single shared hosting plan.

No, and it is worth being clear about it. We host websites and email. We do not supply, run or store an electronic medical records system, and your website should not hold clinical records. If you use an EMR or a hospital management system, keep it separate from your public website. We are happy to host the public site that links to it.

Yes. Most Kenyan facilities we host use a simple request form that emails the front desk, often alongside a WhatsApp link, because that is what patients actually use. Full calendar booking with slot availability is possible with WordPress plugins and works fine on our plans. Start with the form and add booking once you know the volume.

Yes, through M-Pesa. We integrate Lipa na M-Pesa so a patient pays from their phone and the receipt reaches you. This is well suited to consultation fees, appointment deposits and pharmacy orders. It is not a claims system, so it does not replace whatever you use for SHA or private insurer billing.

.co.ke is the normal choice for a private hospital, clinic, laboratory or dental practice, and it is what patients expect to type. .or.ke is intended for non-profit organisations, so it fits a mission hospital or a health NGO. Both are Kenyan domains managed by KENIC and we register and host either. If you are not sure which applies, ask us before you buy.

Yes. Every plan includes mailboxes on your own domain, so you can run reception@, records@, accounts@ and a personal address for each consultant. A hospital address on your own domain is read as more credible than a personal Gmail, and it keeps correspondence with insurers and referring doctors in one place.

Yes, migration is free and we do the work. Send us the existing login details and we move the files, the database and the mailboxes, then point the domain when you are ready. The site stays up while we do it. Several of the health facilities we host came to us from a site that had stopped loading or had expired.

Our entry shared plan is KSh 80 a month (KSh 899 a year), and a .co.ke domain is KSh 950 for the first year. Most clinics are comfortable on the mid plan shown below because of the photo and document load. You pay by M-Pesa and there is no setup fee.
